Notion AI is now included in Notion's Business plan, at $20 per member per month billed annually, or $24 billed monthly, as of October 23, 2026. It writes, answers questions from your pages, transcribes your meetings and runs tasks through agents. It is a good choice if your team already lives in Notion and is willing to build its own structure. If you want a tool that works out of the box, data stored in Europe without an Enterprise contract, or features such as video calls and HR, other options deserve a look.

What Notion AI does today

Notion AI is no longer just a writing assistant. On its official product page, Notion presents a set of features that draw on the content of your workspace.

Writing and editing in pages

You can generate a draft, rewrite, summarize or translate directly in a page, with AI blocks built into the document. In databases, AI fills in properties automatically (a summary, a category, a keyword) and helps write formulas.

Asking questions of your workspace

Notion Agent answers from your pages and databases. You ask where a project stands or what was decided about a customer, and it looks for the information in your content. It can also handle whole tasks: creating pages, updating a database, organizing notes.

Connected search

Enterprise Search, still in beta according to the pricing page, searches your Notion workspace and connected apps such as Slack, Google Drive or GitHub. A Research mode, also in beta, produces more detailed reports on a topic.

Meeting notes

AI Meeting Notes records a meeting, transcribes it and summarizes the key points in a Notion page. Notion does not provide the video call itself: the meeting happens in your usual tool, and Notion keeps the record.

Custom agents

Custom agents automate recurring work: answering questions asked in Slack, assigning tasks, sharing status updates. They are billed separately (see below).

Model choice

According to the official Notion AI FAQ, you can switch between AI models, and "premium" models stay disabled until an admin turns them on. Notion says it uses several large language models, listed on its subprocessors page, and that list changes over time.

Notion AI pricing as of October 23, 2026

The prices below come from Notion's pricing page, in US dollars, per member per month. Notion advertises savings of up to 20% with annual billing.

Plan Billed annually Billed monthly Notion AI
Free $0 $0 Limited trial
Plus $10 $12 Limited trial
Business $20 $24 Included: agent, meeting notes, connected search (beta), Research mode (beta)
Enterprise Contact sales Contact sales Included, with zero data retention at the model providers

Three points to keep in mind:

  • Full AI requires the Business plan. On Free and Plus, Notion grants a limited number of AI responses as a trial, without stating how many. For daily use, the members concerned need to move to Business.
  • Custom agents cost extra. After a free trial, Notion charges $10 per 1,000 Notion credits per month.
  • The math for a team. Ten people on Business cost $240 per month billed monthly, or $200 per month billed annually ($2,400 per year), before custom agents.

What Notion AI does well

Notion is a good tool, and its AI builds on what makes it strong.

The AI works on your content, not next to it. It reads the pages and databases your team has already filled in. If your internal documentation is well kept, the answers are useful from day one.

Flexible databases. Pages, tables, Kanban boards, calendars: you can model almost any process. AI that fills in properties automatically saves real time on large databases.

A rich ecosystem. Templates, the community and integrations are plentiful. Help is easy to find.

Clear commitments on model training. According to Notion's AI security page, neither Notion nor its AI providers use your data to train models by default. On Free, Plus and Business, the provider keeps data for 30 days or less before deleting it. On Enterprise, most models run with zero data retention.

Where Notion AI falls short for a small business

A structure you build yourself

Notion's freedom has a flip side: everything has to be designed. You decide the page hierarchy, create the databases, define the properties, then make sure everyone follows those rules over time. In a small business with no one dedicated to the tool, the workspace gets messy quickly, and the AI answers less well in a messy workspace. Expect a real learning curve for colleagues who are less comfortable with software.

The real cost of AI

Moving from Plus to Business doubles the price per member. For a team that used Notion mainly as a wiki, the bill rises sharply on the day it wants AI every day.

Where the data is stored

According to Notion's data residency documentation, choosing a storage region, including the European Union (Frankfurt, with backup in Ireland), is reserved for the Enterprise plan. Even then, several things stay out of scope: processing by subprocessors, including AI model providers, account information, usage data, Notion Mail and Notion Calendar. For a US company this is often a non-issue. For a business with European customers or GDPR obligations on Plus or Business, the storage region cannot be chosen.

What Notion does not cover natively

  • Video calls: no built-in video calling, only meeting notes.
  • CRM: you can build one with databases and templates, but there is no dedicated CRM module.
  • HR: no time clock, team scheduling, or leave and absence management.

None of this is a blocker if you keep other tools for those needs. But Notion AI will not see what happens in those tools, except for the ones covered by connected search.

Notion alternatives: comparison table

Entry-level paid prices taken from the official pricing pages on October 23, 2026, in the currency each publisher displays.

Tool Best for AI included Entry price Data hosting
ClickUp Teams organized around projects and tasks Yes, on all paid plans, with monthly AI credits per user Core: $9 per user per month billed annually, $12 billed monthly EU data residency on the Enterprise and Max plans
Confluence Teams already on Jira, technical documentation Yes, Rovo included from Standard (25 Rovo credits per user per month) Free for up to 10 users, Standard at $5.78 per user per month EU data residency (Frankfurt, Dublin) available from Standard
Microsoft 365 Copilot Companies already on Outlook, Teams and SharePoint Copilot Chat included in eligible Microsoft 365 plans, Copilot Business as an add-on Copilot Business: $18 per user per month billed annually until December 31, 2026 ($21 after), on top of Microsoft 365 Covered by the EU Data Boundary for EU customers, Anthropic models excluded
Obsidian Individual use, personal note-taking No built-in AI announced by the publisher Free, including for work; Sync at $4 per user per month billed annually Files stored locally on your devices
Omeon Small businesses that want notes, contacts, meetings and HR in one tool Yes, monthly AI credits included, choice of model (including Mistral) on the Pro plan Essentials: €25 per user per month, excl. VAT Hosted in Europe, database in France

A few useful notes. ClickUp and Confluence come with more structure than Notion from the start: ClickUp around tasks, Confluence around documentation pages. Microsoft 365 Copilot (which Microsoft is renaming Microsoft Copilot) makes the most sense if your documents and email already live at Microsoft, since Copilot draws on that content. Obsidian is excellent for one person, much less so for a team that shares information every day.

Omeon, the tool we make, starts from a different idea: bringing together in one workspace notes and a knowledge base, tasks, contacts and databases, video calls with transcription and summaries, team messaging, email, and an HR module (time clock, scheduling, leave and absences). The AI assistant draws on the company's documents. An import from Notion brings over pages and databases, with optional continuous sync. It is less flexible than Notion for people who like to build everything themselves, but there is less to set up.

How to choose for your business

Your team already uses Notion and finds its way around. Try the Business plan for a month. If the agent answers correctly from your own content, the extra cost is justified. Check first that your workspace is tidy enough for the AI to find information in it.

You run on Microsoft 365. Start with Copilot Chat, already included, then evaluate Copilot Business. Adding Notion AI on top would duplicate it.

Your technical team works in Jira. Confluence fits naturally, AI is included from Standard, and data residency in Europe is available without an Enterprise plan.

Your work revolves around client projects and deadlines. ClickUp will be more direct than Notion for tracking tasks, with AI included.

Where your data is hosted matters to you or your customers. First check which plans let you choose the region. At Notion and ClickUp, that means Enterprise (or Max at ClickUp). Also consider which AI model processes your data: our article on Mistral vs ChatGPT for a small business covers that question.

You do not want to build your own tool. Pick software already structured for your use, whether ClickUp for projects or an all-in-one tool for running a small business day to day.

You work alone. Obsidian, free and local, or Notion Plus are more than enough.

Frequently asked questions

Is Notion AI free?

Not for regular use. The Free and Plus plans include a limited trial, with an undisclosed number of AI responses. Full AI is included from the Business plan, at $20 per member per month billed annually or $24 billed monthly, as of October 23, 2026.

How much does Notion AI cost for a team of 10?

On Business, $240 per month billed monthly, or $2,400 per year billed annually. Custom agents come on top after the free trial, at $10 per 1,000 Notion credits per month.

Does Notion AI use my data to train its models?

No, according to Notion: by default, neither Notion nor its AI providers train models on your data, and the contracts with those providers forbid it. On the Free, Plus and Business plans, the provider keeps data for 30 days or less.

Can Notion data be hosted in Europe?

Yes, but only on the Enterprise plan, with storage in Frankfurt and backup in Ireland. Processing by AI model providers, Notion Mail and Notion Calendar are not covered by this data residency.
